Volunteer Roles & Descriptions

We have a range of volunteer activities suitable for indoor and outdoor positions. Some positions require standing for long periods of time, while others have seated options.
This guide provides everything you need to know about your role, expectations, required gear, and day‑of logistics.



Pool Marshals Tent (Outside)
Pool Marshals organize athletes before each swim heat. You’ll guide athletes to the correct lineup, keep heats running smoothly, answer questions, and help maintain a calm, organized flow around the pool entrance.
Key Duties:
- Organize athletes by heat number.
- Communicate timing and order updates.
- Keep pool entrance clear.
- Provide guidance for new or nervous athletes.
Weather Gear: Warm layers, sunscreen, hat, rain jacket.
Pool Lap Counters (Inside)
Lap counters ensure each athlete completes the correct number of pool laps. (1 Lap + 50m or there-and-back of the pool)
Key Duties:
- Count laps accurately using clipboards or counters.
- Signal final lap when required.
- Report discrepancies to pool officials.
Environment: Warm and humid—wear breathable clothing.
Transition Area Marshals (Outside)
Support the flow of athletes during bike and run transitions.
Key Duties:
- Keep lanes and pathways clear.
- Monitor for safety concerns.
- Communicate with Transition Coordinator.
Weather Gear: Jacket, hat, sunscreen, warm layers.
Transition Area Security (Outside)
Ensure only authorized athletes and staff enter the transition zone.
Key Duties:
- Control access in and out of transition.
- Protect athlete equipment.
- Prevent spectator encroachment.
- Report issues immediately.
Weather Gear: Warm clothing, rain jacket, sunscreen, lawn chair.
Body Markers (Outside)
Greet athletes and mark race numbers on arms and calves.
Key Duties:
- Write numbers clearly with felt pens.
- Keep lines organized.
- Maintain a welcoming, friendly atmosphere.
Weather Gear: Light jacket, warm layers in the morning.
Finish Line Team (Outside)
Help athletes complete their race smoothly and safely.
Key Duties:
- Collect timing chips.
- Hand out medals.
- Monitor for medical concerns. – Keep the chute clear.
Weather Gear: Sun protection, rain layers, warm layers.
Race Package Pickup (Saturday)
Assist athletes in picking up their race kits.
Key Duties:
- Check off registered athletes.
- Answer basic event questions.
- Distribute bibs, t-shirts, and race info.
Weather Gear: seated, shaded.
Cycle Route Marshals (Outside, Seated)
Direct cyclists at route intersections.
Key Duties:
- Sit at designated spot and point cyclists in the right direction.
- Encourage participants.
- Report issues or hazards.
Weather Gear: Warm layers, sunscreen, rain gear, umbrella or lawn chair recommended.
Running Route Marshals (Outside, Forest, Standing)
Ensure runners stay on the correct trail paths.
Key Duties:
- Direct athletes clearly at trail intersections.
- Encourage runners.
- Watch for hazards (roots, wildlife).
Weather Gear: Waterproof jacket, sturdy footwear, layers, bug spray, lawn chair.
Registration Table Sunday (Outside)
Assist with race-day check‑in.
Key Duties:
- Verify registrations.
- Distribute last-minute materials.
- Direct athletes to next stations.
Weather Gear: Warm layers, light rain gear, Sun protection.
Timing Chip Registration (Outside)
Assign ankle timing chips to athletes.
Key Duties:
- Ensure correct chip assignment.
- Help athletes secure straps.
- Coordinate with timing officials. Possible basic data entry on provided laptop.
Weather Gear: Layers and sun/rain protection.
Water Station (1 – Larch Rd, 1 – Playground) (Outside)
Hand out water cups to athletes.
Key Duties:
- Set up table with water jugs and cups.
- Keep water cups full and available for quick grab.
- Keep surrounding area clean of garbage/ used cups.
Weather Gear: Layers and sun/rain protection.
Your area coordinator will be your point of contact on race day. Please ask questions anytime.
- Arrive 10–15 minutes early.
- Bring water and snacks.
- Wear comfortable shoes.
- Be encouraging—your positivity shapes the athlete experience.
